How 310 Tutors tracks every student from inquiry to lesson report
Most businesses have a handover point where sales ends and delivery begins. Tutoring does not really have one. A parent enquires, is nurtured, enrolls a child, and then the relationship continues for months or years through lessons delivered by tutors who need to be assigned, scheduled and reported on.
310 Tutors is growing quickly, and that span is the whole operation. We built it as one connected system on monday.com rather than as separate tools for marketing, enrollment and delivery.
Capturing and nurturing enquiries
Parents enter as leads automatically, whether they come through Jotform, a monday form, or are entered manually by someone who took a phone call. From there they move through a structured pipeline where automated emails, status-based actions and scheduled follow-ups do the nurturing.
The reason this matters in education specifically is timing. A parent researching tutoring is usually doing it in response to something, a test result or a school report, and their urgency has a short half-life. A follow-up that happens reliably on day two beats a better one that happens when someone remembers.
From enrollment to onboarding
When a parent enrolls, they transfer into onboarding automatically. That transfer triggers task assignments, sets deadlines based on the enrollment, and posts notifications to Slack so the people responsible see it where they already work.
Nobody re-enters the family's details. The record that was created when they enquired is the same record that carries through onboarding and into delivery.
Connected records rather than separate lists
Parents, students and service coordinators are held as live linked databases rather than as lists that need reconciling. A parent has children. A child has a program, a tutor and a history. A coordinator has the families they look after.
Because those relationships are modeled rather than maintained, information stays consistent across departments without anyone syncing anything. Updating a phone number updates it everywhere it appears.
Staff time-off tracking sits in the same system, giving leadership real-time visibility of who is available. In a business where delivery depends on named tutors being present, that is operational information rather than an HR nicety.
Delivering the programs
When a student's program is selected, the system generates the structured learning track for it, assigns tutors, and creates the lesson workflows that follow.
After each session, tutors submit a structured report through an automatically generated Jotform. The structure is the point: the same fields every time, from every tutor, which makes the reports comparable rather than a collection of individual writing styles.
What the AI does with those reports
Submitted reports are analyzed automatically to produce summaries, recommendations and performance insights.
This is the part that would not be practical manually. Reading every tutor report across every student and noticing that a particular child has plateaued, or that a topic is causing difficulty across several students, is genuinely useful and nobody has time for it. Automated analysis makes it something that happens by default rather than something that happens when a coordinator has a quiet week.
Parents receive automated updates drawn from the same reporting, so communication stays consistent without a coordinator writing each message. Reminders, notifications and fail-safes sit underneath the whole flow to catch the steps that would otherwise be missed at volume.
Results
- Up to 90% of operational workflows now run automatically
- Lead response is faster and conversion improved through consistent nurturing
- One connected record set across parents, students, tutors and coordinators
- Standardized learning delivery, with structured tutor workflows and reporting
- AI-generated academic insight that would not exist if it depended on someone reading every report
- Transparent staff availability and time-off visibility for leadership
- Growth without a matching increase in administrative work
The system removed a large amount of coordination work, and the more interesting effect is that consistency stopped depending on individuals. Communication happens, reports get filed and follow-ups go out because the process does them, at whatever volume the business is running.
